Privacy statement

As of May 25, 2018, the General Data Protection Regulation (GDPR) is in effect, granting individuals more privacy rights. While the fundamental way we handle your personal data remains unchanged, we have provided a clear overview of our practices for your understanding.

What personal data do we process?

Personal data of business contacts

Due to previous business interactions, your personal data, such as your name and business contact details, may be present in our database and project archives. This data has been collected from the information you provided during our business relationship. We only store the information necessary for fulfilling an agreement, based on the GDPR’s lawful basis of contract execution. The general types of data stored include:

  • First and last name
  • Your role, position, or function within your organisation
  • Email address
  • (Mobile) phone number
  • Business or postal address
Newsletter
Opt-in

Human Safety Alliance sends newsletters only with explicit consent, provided through an activation email. The frequency of the newsletter is indicated in this email and will not be exceeded. We store the consent, your name, and email address.

Opt-out

Each newsletter contains a link at the bottom, allowing the recipient to easily unsubscribe.

Contact form

When you fill out the contact form on our website, we process only the data you voluntarily provide based on your consent. This will include your name and email address, and optionally, your phone number and message or query. These details are collected and stored to respond to your inquiry. Since the contact form functions as an email, we treat the data in the same way as a direct email communication.
By providing this information, you consent to its use for the purposes outlined and agree that we may retain the data for up to one year. The data will not be shared with third parties. If we intend to use your information for other purposes, such as sending newsletters, we will first ask for your explicit consent. We process your data in accordance to Article 8 sub a and sub b Wbp and in accordance with the GDPR.

Cookies and log data

Human Safety Alliance uses Google Analytics to measure website visitor statistics. The last octet of visitors’ IP addresses is removed by Google Analytics to anonymise the data. Aside from anonymised IP addresses, no other personal data is used. For more information about Google’s data collection and processing practices, please refer to Google’s Privacy Policy.

Job applications

Human Safety Alliance stores job applications received by letter, email, or video for no longer than four weeks after the conclusion of the recruitment process. If we wish to retain your personal data beyond this period, generally up to one year, we will request your explicit consent.

Where are your personal data stored?

Personal data is stored on the servers of our website host. We have a data processing agreement in place with them, ensuring state-of-the-art security measures. They use data centers located in the Netherlands, and all equipment used for providing services to Human Safety Alliance is subject to Dutch law.

Retention periods

We do not retain personal data longer than necessary for the purpose of processing and where required, in accordance with legally established periods.

Security

To secure your personal data, we have implemented the following measures:

  • Servers and devices used by our staff are equipped with up-to-date security software, such as antivirus software and firewalls.
  • We transmit data only via secure internet connections (SSL).
  • All computers and other electronic devices are password-protected.
  • All our staff are informed of and trained in the company’s security requirements.
Who do we share personal data with?

Human Safety Alliance will not share or sell your personal data to third parties unless necessary for the execution of our business activities (based on the GDPR’s lawful basis of contract execution). Both internal (among staff) and external (subcontractors) agreements are in place to ensure confidentiality.

Changes to the privacy statement

Human Safety Alliance reserves the right to modify the privacy statement at any time. Please check the privacy statement regularly for updates. We will also actively communicate changes via our newsletter.

Obligation to report

If a data breach or hack occurs that poses a risk to the rights and freedoms of individuals, this will be reported to the supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), as soon as possible.

Your privacy rights

Since we process your personal data, you have the right to access, correct, or delete it. Additionally, you have the right to object to the processing of your personal data. If you have a complaint about how we handle your data, we would like to hear from you. You also have the right to file a complaint with the Dutch Data Protection Authority.
